Description of Job:
This part-time position is located in the Colorado Department of Transportations Region 5 Maintenance Office in Alamosa, CO.The Administrative Assistant III provides support to a 4 managers and 27 employees.
_MAJOR RESPONSIBILITIES_:
Establish and maintain effective and cooperative working relationships with all levels of personnel, including internal customers, the public, vendors and other agencies.
Serve as the first point of contact to the public and department staff, both in person and by telephone; assure effective, expedient communications and positive public relations.
Respond to inquiries, issues and concerns regarding maintenance operations, policies and procedures and/or private citizen concerns.Resolves problems or routes to the most appropriate person.
Clarify and communicate CDOT policies, rules, office procedures and other information to the public, CDOT employees and other agencies.
Create, revise, implement and maintain office procedures.
Regularly create, modify, compile, type and/or code reports, memos, forms and correspondence and other documents in MSWord, Excel.Prepare and maintain confidential employee documents.
Schedule appointments, meetings, reservations, exams, trainings, and travel arrangements.
Utilize Microsoft Excel, Word, PowerPoint, Gmail and Access.
Check maintenance invoices for compliance with CDOT accounting rules and regulations.
Review and code invoices; resolve invoice discrepancies.
Perform record keeping.
Coordinate pre-employment and random drug and alcohol screening.
Regularly check and verify employee timesheets.
Enter and verify data in SAP.
Perform general office duties such ordering and maintaining office supplies; initiating repair of office equipment and assisting others with the operations of office equipment.
Serves as proctor for job assessments and interviews including scheduling interviews and rooms, greeting candidates and collecting required documents.
Assist main office with updating and mailing documents.
Assist in providing credit card training to employees.
Abide by all safety rules and regulations.
Other duties as assigned.
Work Environment:
This position will typically work 32 hours per week.
Required to drive to safety meetings and trainings.
Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights:
Three (3) years of general clerical experience which included working with Microsoft Word and Excel.Experience with Gmail is also required. The required experience must be specifically documented on your application. Driving Record Standards:
A current valid driver license is required for all Colorado Department of Transportation (CDOT) positions which require operating a state or personal motor vehicle to perform one or more essential functions of the position. Youmust possess and maintain a valid State of Colorado Driver license with a driving record that does not exceed our application limits. Your MVR will be checked as a condition of employment. Items for disqualification are listed below:
Any DUI, DWAI convictions within the past 3 years. (The 3 year timeframe is from date of conviction to date of initial application)
Any hit and run accident within the past 3 years.
3 or more convictions of moving traffic violations within the past 12 months and/or
5 or more convictions of moving traffic violations within the past 5 years. (Example: speeding, turning violations, driving actions following too closely, signaling violations, lane violations, right of way, etc.)
